Acceptable Use Policy
Effective September 22, 2026. This policy applies to every hosted service provided by PYCAS DESIGN INNOVATIONS, LLC ("Pycas"), including the AI Document Processing platform, and forms part of our Terms of Service. It exists to protect our customers, their data and our systems.
1. Your responsibility for what you upload
You are responsible for every document, file and data record you or your users submit to our services, and for every user account you create. You confirm that you own the content or have the right to process it, that processing it with a third-party service provider is permitted by your contracts, policies and applicable law, and that you have given any notices and obtained any consents required from the people whose information the documents contain.
2. Prohibited content
You may not upload or process: content that infringes anyone's copyright, trademark, trade secret or other rights; content that is unlawful, defamatory, or that you are legally prohibited from disclosing (for example classified information, or export-controlled technical data); malware or files designed to damage or gain unauthorized access to any system; or content depicting the sexual exploitation of minors. Regulated data categories (protected health information under HIPAA, payment card data under PCI DSS, Criminal Justice Information, or data subject to ITAR) may be processed only under a written agreement with Pycas that names the category and the safeguards applied; sending such data without that agreement is a breach of this policy.
3. Prohibited conduct
You may not: attempt to access another customer's account or data; probe, scan or test the vulnerability of our systems without written authorization; circumvent usage limits, authentication or billing; reverse engineer, decompile or copy the platform or its extraction rules except as the law expressly permits; resell or sublicense the service without our written agreement; use the service to build a competing product; use the output to make automated decisions about individuals that produce legal or similarly significant effects without meaningful human review; or use the service in any manner that violates applicable law, including privacy, anti-spam and consumer-protection laws.
4. Fair use of shared resources
Monthly plans include a stated document allowance and reasonable API request rates. Sustained usage that degrades the service for other customers (for example bulk uploads far above the plan's allowance without arrangement, or automated retries that flood the API) may be throttled. We will contact you before taking action except where immediate action is needed to protect the platform.
5. Account security
Keep credentials, API keys and lead tokens confidential, use multi-factor authentication where offered, remove users who leave your organization promptly, and tell us at info@pycasdesign.com as soon as you suspect unauthorized access. You are responsible for activity under your accounts until you notify us.
6. Human review and output
Our platform flags low-confidence extractions and rule violations for human review. You agree to keep a person responsible for reviewing flagged items and for the business decisions made on processed data, and not to represent to third parties that output has been verified by Pycas unless we have agreed to provide that service in writing.
7. Reporting abuse
Report suspected violations of this policy, security vulnerabilities or content concerns to info@pycasdesign.com. We investigate every report and respond to security reports within two business days. We do not pursue legal action against good-faith security researchers who report responsibly and do not access customer data.
8. Enforcement
If we reasonably believe this policy has been violated we may remove or quarantine content, suspend the affected user or account, or, for serious or repeated violations, terminate the agreement under the Terms of Service. Where practicable we will notify you and give you an opportunity to remedy the issue first. We may also report unlawful activity to law enforcement. Fees are not refunded for suspension or termination caused by a violation of this policy.
9. Changes
We may update this policy as our services and the law evolve. Material changes will be emailed to the account contact at least 30 days before they take effect, except where a shorter period is required to address a legal or security risk.
